Filming Approvals at Capilano University

Capilano University is an active and collaborative partner in British Columbia’s film industry.

To obtain approval for filming on CapU properties, including the Squamish and North Vancouver campuses, a booking request must be submitted through the Events and Film Office.

  • Film shoots of over 20 people require 12–15 business days for review and include a mandatory technical scout 2–3 days in advance of approved requests.
  • Film shoots of under 20 people require 5–7 business days for review and approval of filming or photography requests.

Once a request is submitted, the Film team will review the details and follow up to confirm availability, requirements and next steps.

Capilano University Filming Guidelines

  • To obtain approval for filming locations which involve Capilano University properties, including the a booking request must be submitted to Capilano University's Events and Film Office. The Filming Booking Form must be received at least fifteen business days in advance of prep day.
  • The Booking Form will be reviewed by the appropriate Capilano departments, to ensure the needs of the production company and Capilano University are satisfied.
  • The Booking Form must include adequate details to identify the production company's requirements, and dates and names of individuals responsible for the filming.
  • The production company will be responsible for submitting all required insurance documents with the Booking Form before filming activities begin.
  • The liability insurance must name Capilano University as "Additional Insured" in the production company's insurance policy. This policy, which is required to include commercial general liability, must also include a limit of at least $5 million (in Canadian funds) and under situations of potential extreme exposure to CAPU the liability insurance may need to be increased accordingly.

Filming Rates: Rates range from approximately $500 to $3,500 per day, depending on the location within the university and the complexity of the production. High-demand locations may have higher rates.

  • All fees related to filming are based on cost recovery, plus applicable taxes and administrative charges for services provided by Capilano University.
  • A damage deposit will be set by Capilano University based on the nature and location of the film project. The deposit is required to cover any potential damage to university facilities or equipment and must be submitted by certified cheque payable to Capilano University Film Office.
  • The deposit will be refunded following the completion of filming, a site inspection by Capilano University staff, and final approval from the Film Office.
  • The production company is responsible for the cleanup. Any required repairs or restoration will be completed by Capilano University and invoiced to the production company.
  • Payment of fees must be made by the production company via certified cheque, payable to Capilano University.

Other fees include:

  • Parking: Daily parking fees are in effect.
  • Film Liaison & Security: At least one Capilano University Film Liaison person, or department liaison is required during filming. 
  • Building Operations: Per hourly rate for personnel for HVAC shutdown, electricians, movement of campus property such as furniture, etc.
  • Other fees may apply depending on location and filming requirements.

Deposit

  • A damage deposit will be established by Capilano University. The amount will depend upon the specific nature of the film project, location, etc.
  • Deposits are required to cover any potential damage to Capilano University facilities, equipment, etc.
  • Deposits must be made by certified cheque payable and submitted to "Capilano University Film Office.
  • Deposits will be refunded upon completion of filming activities, an inspection by Capilano University staff, and final approval from the Film Office.
  • Cleanup will be undertaken by the production company. Any repairs, restoration, etc., will be provided by Capilano University, with the cost of such services invoiced back to the production company.
  • A complete script must be submitted for approval prior to the technical survey to ensure that the content does not damage the reputation or image of the university. For commercials and documentaries, a storyboard and detailed outline must be provided.
  • Filming must cause minimal disruption to university programming and activities, as well as to the campus community.
  • Capilano University's anonymity must be maintained during any filming of all productions, including promotion and credits, unless prior written approval is obtained, or requested by the university or documentaries and educational productions.
  • No major construction or alteration of buildings will be permitted unless authorized.
  • Filming on campus should be conducted in a sustainable manner.
  • The producer is encouraged to involve students from the Capilano University School of Motion Picture Arts, located in the Bosa Centre for Film and Animation, as observers during the filming process on campus.
