How to obtain a Host account
In order to host WebEx meetings or training sessions, you need to have a WebEx host account. All regular staff and employees have a host account already enabled and it's tied to their regular network login account. If you only need to join another person's meeting or training session, you don't require a Host account.
How to access WebEx
If you have a Host account, follow the instructions below to log in to WebEx. Logging in to WebEx is not required in order to join a Webex session you were invited to.
- On any browser, go to https://capilanou.webex.com.
- On the top right corner, click login.
- Enter your CapU email and password.
- Click Sign In.
- Once you are logged in, you will see your profile picture and a green Start Meeting button.
- If you don't see the menu above your profile picture, locate and click the up arrow above your picture. This will show you the WebEx interface.
The WebEx interface
The WebEx website offers hosts a variety of options for setting up .
- Start Meeting button below your profile picture: This allows you to quickly start a meeting using your personal room.
- Home: This allows you to return to the same screen you see upon logging in.
- Meeting Center: This section contains all the options for setting up a meeting.
- New User Reference: Access online WebEx resources from Cisco.
- Attend a Meeting: Quickly join a meeting if you have been provided with a host's room ID or a meeting number.
- Host a Meeting: Options to start or schedule a meeting, see your upcoming meetings and access recordings of past meetings.
- Set Up: Modify WebEx preferences such as the name of your personal room or the time zone.
- Event Center: This section contains all the options for hosting events.
- New User Reference: Access online WebEx resources from Cisco.
- Attend an Event: Quickly join an event if you have been provided with an event number.
- Host an Event: Options to schedule an event, invite people to your event and communicate with attendees and absentees.
- Set Up: Modify WebEx preferences such as the name of your personal room or the time zone.
- Support Center: This section allows you to request and access support for WebEx from Cisco.
- Training Center: This section contains all the options for scheduling training sessions.
- New User Reference: Access online WebEx resources from Cisco.
- Attend a Session: Quickly join a training session if you have been provided with a session number.
- Host a Session: Options to schedule or start a training session and access recordings of past training sessions.
- Set Up: Modify WebEx preferences such as the name of your personal room or the time zone.
- My WebEx: This section shows you at a glance your scheduled meetings, personal room, recordings, contacts, profile and preferences.
How to use your personal room for quick meetings
Each WebEx host has a personal room that can be used for quick meetings without the need to schedule or set up ahead of time. You can follow the instructions below to start the meeting and then invite others, but your personal room can also be accessed by going to its webpage. Your personal room's webpage is http://capilanou.webex.com/meet/username, where username should be replaced with your WebEx username (e.g. http://capilanou.webex.com/meet/johnsmith5).
- Ensure that you are on the Home tab.
- Click Start Meeting.
- If this is your first time using WebEx on your computer, additional setup may be required for your browser.
- The Meeting will now open.
- Select which audio you would like to use:
- Call Me: WebEx will call your phone and you will hear the meeting through your phone.
- I Will Call In: You will have to call the WebEx number provided and you will hear the meeting through your phone.
- Call Using Computer: Use your computer's speakers/headphones and microphone.
IT Services recommends using this option whenever possible for the best WebEx experience. - No Audio: You will not hear the meeting nor will others be able to hear you.
- If you have a video camera, WebEx will automatically detect and use it for the video connection. You can choose No Video instead of you don't wish to share your video.
- Click Connect Audio or Connect Audio and Video.
- To invite others, click Invite & Remind and then type email addresses or phone numbers. Click Send when done.
- To share your screen, click Share Screen and select which monitor to share.
- Other options, such as sharing a file, are available from the Share menu.
