How to apply for the EU Study Tour

Step 1 Contact your local faculty sponsor. Each institution is responsible for its own selection procedure-- available from your faculty contact. Contact information is provided on the “Contacts” page of the web site.  If a contact for your university is not listed, send an email to the Director (Administration), Ed Lavalle, at  elavalle@capilanou.ca.

Step 2 Go through the local selection process. When your faculty sponsor has notified you and the  Director (Administration) that you are selected,  you should complete the application form found in “How to apply” on the web site. Forward the application form, by fax, to 604.983.7545. You will be required to pay a deposit of $1000 to secure your place on the Tour. DEADLINE: we must receive this application and deposit by March 1. The balance of the Tour fees must be received no later than  April 15.

Step 3 Pay the balance of the Tour fee no later than April 15,  make your own travel arrangements, read all the bulletins issued to students by the Tour, and participate in your faculty sponsor’s preparation activities.

The Tour fee for the EU Study Tour & Internship Program is $3,000 for students whose institutions are membersof the Network for European Studies  (Canada); for all other students the fee is $3,200.

There may be a modest plus or minus 5% change in the fee made necessary by the fluctuations of the Euro relative to the Canadian dollar.  Any changes will be provided on February 28 and the fee on that date will be final.

What is included in the fee?  What is not?

The Tour fee includes accommodation and local transportation. Local transportation includes transportation by private coach to Brussels, Frankfurt, Strasbourg and Luxembourg.  The arrival and departure location is Brussels.  Transportation to Europe and our hub city, Brussels, is NOT included in the Study Tour fee.  For travel arrangements see Current Travel Information.  Although the Tour and our host institutions provide a number of dinners and lunches plus several receptions, participants are responsible for their meals while in Europe.

Register for a credit course:  All applicants for the Study Tour must register or be registered in an appropriate credit course, preferably at their home institution. Students should consult their home institutions regarding credit.

Please note: the EU Study Tour fee does not include course registration or other fees pertaining to students’ home institutions if the home institutions have made arrangements to provide academic credit for the Tour. FOR FURTHER INFORMATION ON COURSE CREDIT PLEASE CONSULT THE APPROPRIATE HOME INSTITUTION.

Quick Guide to the Selection Process and Submission of Documents

    Who selects the students?

The local faculty sponsor is primarily responsible for the selection of students for the Study Tour. Although the Academic Coordinating Committee has an oversight role, the recommendation of the sponsoring faculty member and the ranking by the faculty member is the most important part of the selection process.

    What documentation is required?

An application form completed by the student. The application requires the number and expiry date of an appropriate passport or travel document and a Schengen visa if required. An application form is accessible above.  PLEASE SEND AS SOON AS YOUR FACULTY SPONSOR HAS CONFIRMED YOUR PARTICPATION.

      • An email or letter of recommendation by the sponsoring faculty member, including a statement that the student is or will be enrolled in an activity that will receive academic credit by the institution of origin.  PLEASE SEND WITH APPLICATION FORM if a letter. Network members need not send a referral letter.

What documentation will be required after confirmation of selection?

After selection, each student is required to provide a signed Waiver of Liability (provided by Capilano University) and proof of medical insurance for Europe and travel.  Students are responsible for their own travel documents--a passport and any necessary visa.  Canadian passport holders do not require a visa provided the stay is no longer than three months.

Beginning in March, students who have applied and been accepted will begin to receive electronic bulletins with important Study Tour and Internship Program information.
