Joining WebEx Sessions

        How to join a meeting

        Note: You can't join a meeting before the starting time of the meeting.

        1. When you are invited to a meeting, you receive an email from messenger@webex.com.
        2. If you have a host account with WebEx, first go to https://capilanou.webex.com and log in. 
        3. To join on your computer:
          1. Find the join the meeting link next to the Add to Calendar button.

          2. Click join the meeting.
          3. If this is your first time using WebEx on your computer, additional setup may be required for your browser.
          4. Meeting will now open.
          5. Select which audio you would like to use:
            • Call Me: WebEx will call your phone and you will hear the meeting through your phone.
            • I Will Call In: You will have to call the WebEx number provided and you will hear the meeting through your phone.
            • Call Using Computer: Use your computer's speakers/headphones and microphone.
              IT Services recommends using this option whenever possible for the best WebEx experience.
            • No Audio: You will not hear the meeting nor will others be able to hear you.

          6. If you have a video camera, WebEx will automatically detect and use it for the video connection. You can choose No Video instead of you don't wish to share your video.
          7. Click Connect Audio or Connect Audio and Video.

        4. To call in to the meeting (if you don't have a computer available):
          1. The phone number is provided at the bottom of the email.

          2. Make a note of the meeting number and password provided.
          3. You will be able to hear and talk but not be able to see the shared screen, files or video.

        How to join a training session

        Note: You can't join a training session before the starting time of the session.

        • If you were invited or provided a link to the training session:
          1. If you have a host account with WebEx, first go to https://capilanou.webex.com and log in.
          2. If you received an invite email from messenger@webex.com, find and click the link in step 1.

          3. Otherwise, go to the link you were provided using your web browser.
          4. Type Your name and Email address in the fields provided.

          5. Click Join Now.
          6. If this is your first time using WebEx on your computer, additional setup may be required for your browser.
          7. Choose Call Using Computer or Call Me to choose if you'd like to listen to the training session on your computer or on your phone.
            IT Services recommends using the Call Using Computer option whenever possible for the best WebEx experience.

          8. Click OK.

          9. You will now join the training session.
          10. Close the WebEx window when you wish to leave the training session.
        • If you were only provided a session number and password:
          1. Go to https://capilanou.webex.com.
          2. If you have a host account with WebEx, log in.
          3. Click Training Center from the top menu.

          4. Click Attend a Session from the left menu.

          5. Type the Session Number.

          6. Click Join Now.
          7. Type the Session password.

          8. Click OK.
          9. Type Your name, Email address and Session password in the fields provided.

          10. Click Join Now.
          11. If this is your first time using WebEx on your computer, additional setup may be required for your browser.
          12. Choose Call Using Computer or Call Me to choose if you'd like to listen to the training session on your computer or on your phone.
            IT Services recommends using the Call Using Computer option whenever possible for the best WebEx experience.

          13. Click OK.

          14. You will now join the training session.
          15. Close the WebEx window when you wish to leave the training session.

        How to join an event

        Note: You can't join an event before the starting time of the event.

        • If you were invited or provided a link to the event:
          1. If you have a host account with WebEx, first go to https://capilanou.webex.com and log in.  
          2. If you received an invite email from messenger@webex.com, find and click the Click here link in step 1.

          3. Otherwise, go to the link you were provided using your web browser.
          4. Type your First name, Last name and Email address in the fields provided.

          5. Click Join Now.
          6. If this is your first time using WebEx on your computer, additional setup may be required for your browser.
          7. By default, WebEx chooses to use your computer's audio to listen to the event. You can change to Call Me or I Will Call In options by clicking on them.

          8. You will be able to see the WebEx event window.
          9. Close the WebEx event window when you wish to leave the event.
        • If you were only provided an event number and password:
          1. Go to https://capilanou.webex.com.
          2. If you have a host account with WebEx, log in.  
          3. Click Event Center from the top menu.

          4. Click Unlisted Event from the left menu.

          5. Type the Event Number.

          6. Click Join Now.
          7. Type your First name, Last name and Email address in the fields provided.

          8. Type the Event password if one was provided to you.
          9. Click Join Now.
          10. If this is your first time using WebEx on your computer, additional setup may be required for your browser.
          11. By default, WebEx chooses to use your computer's audio to listen to the event. You can change to Call Me or I Will Call In options by clicking on them.
